Welcome to IMAGINE Studio! These Terms & Rules (AGB) govern the booking and use of our studio spaces, operated by POLEVAR SK GmbH, as well as the use of this website. By booking the studio or using our website, you agree to these terms.

Booking Policy

• On weekends and public holidays, the minimum booking time is 2 hours.
• For bookings before 10:00 and after 18:00, a 20% surcharge applies to the regular hourly rate.
• Additional equipment must be reserved in advance with specific details of your requirements.
• Furniture is included in the studio rental price. Couches are only available in Studio 90.
• Invoices must be paid within 3 days of receipt.

Cancellation & Rescheduling

• Cancellations or reschedules made more than 48 hours before the booking: free of charge.
• Cancellations or reschedules made less than 48 hours in advance: 50% of the booking fee is charged.
• Cancellations or reschedules made less than 24 hours in advance, or no-shows: 100% of the booking fee is charged.

Studio Rules

• Footwear: shoe soles must be taped (tape is provided at the studio). Do not step on the cyclorama in untaped shoes, including studio slippers — only taped shoes and clean socks are allowed.
• Cleanliness: the cyclorama and floor must remain clean. A fine of minimum €50 applies for any damage or dirt. Dishes must be washed; a fine of €60 applies for leaving the studio messy.
• Furniture & equipment: all items must be returned to their original places 5–10 minutes before the end of the rental period. Do not drag equipment or furniture — always carry it. Any marks left on the cyc or white floor will be charged.
• All preparations (makeup, changing, set-up) must be completed within your booked hours.
• Delays: if the rental exceeds the booked time, the next hour is charged in full.
• Prohibited materials: glitter, body oil, tan cream, or confetti may not be used without prior arrangement.
• Do not step on the curved part of the cyclorama wall — €200 fee for breaking it.
• All prices mentioned are excl. VAT.

Responsibility

The person who books the studio is fully responsible for ensuring that all team members involved in the shoot or event comply with the studio rules, and is obliged to inform their entire team (photographers, models, makeup artists, etc.) about these rules in advance. In case of any rule violations, the person who made the booking bears full financial responsibility, regardless of which team member caused the violation.

General Terms and Conditions

General conditions — as of October 1, 2024.

§1 — Use

You use IMAGINE Studio and all technical equipment at your own risk.

§2 — Booking Units

The studio can be rented daily from 10:00 to 18:00. Rental hours outside of these times increase the cost by 20%. Studio rental must start exactly at the agreed rental time. Starting times that differ from the agreed time are only possible after confirmation from us in writing (a delay of up to 15 minutes is accepted). If the delay exceeds 15 minutes, we will consider the studio rental a no-show or cancellation and charge 100% of the booking cost as a cancellation fee. The studio opens 20 minutes before the first booking starts.

Events: the possibility of booking and the amount for events must be agreed upon separately with the studio administration no later than 72 hours prior to the event via WhatsApp at +436763859127.

§3 — Cancellation Policy

If a booking is cancelled at short notice, the following cancellation conditions apply: if you cancel within 48 hours of the booked slot, 50% of the full amount is charged. If you cancel within 24 hours, or fail to attend the agreed booking, 100% of the amount is charged. Cancellations made more than 48 hours before the scheduled booking are free of charge. §4 — Inspection of Equipment

The furniture and decor in the studios may differ from the photos presented on the website. At the beginning of the studio rental, the renter must check the studio to ensure that the furniture and equipment are in good condition, clean, complete, and functional. At the end of the rental period, the studio must be left in its original condition — this applies particularly to technical equipment, decorative materials, sanitary areas, and dishware. The time needed for this should be planned into your booking. Any damages to equipment or furniture will be charged separately, according to the cost of repair or replacement.

§5 — Rental Period

The rental period begins and ends at the times specified in the booking confirmation. Any activities such as makeup, changing, setting up decorations, or cleaning must be accounted for within this time; the client may not use the studio outside of it. Early completion of the shoot does not reduce the fee for the selected rate. The end of the booking time is counted as 5 minutes before the end of the reservation; as a courtesy, the administrator will notify you 10 minutes prior to the end of the booking. Any delay beyond 5 minutes incurs a charge for the subsequent hour according to the rate, regardless of room occupancy.

§6 — Number of Participants and Rates

All specified prices are gross prices, inclusive of the legally established sales tax and use of supplies as indicated. If the studio is not used according to the information indicated at the time of rental (for example, a masterclass or commercial use when private use was indicated), the difference will be charged to the commercial studio rental fee, and we reserve the right to refuse future studio bookings to the renter. If paper backgrounds are soiled or damaged, we charge according to the current price list (also displayed on the notice board in the studio). Current prices valid at the time of studio use apply. The maximum number of people in the hall during the shoot is up to 6 (Studio 35) and up to 10 (Studio 90), charged according to the selected rate.

§7 — Protection of Minors

The client agrees not to commit any immoral and/or illegal actions in the studio, and in particular to ensure compliance with legal requirements for the protection of minors.

§8 — Material Responsibility and Damage to Property

The client bears material responsibility for the actions of all shoot participants and for damage to the studio's property. In the event of damage to studio equipment, the client will reimburse the studio for the full cost of repairs (based on a service center receipt) or, if repair is not possible, the full cost of replacement (based on a receipt), as well as all related overhead costs (transport, delivery, expertise, etc.) supported by receipts. In case of damage to the studio premises or interior, the client will reimburse the studio for the full cost of repair or replacement, in agreement with the administrator. The use of adhesive tape, fasteners, and drilling into walls is strictly prohibited. If the client and the administrator cannot reach an agreement on-site, the studio reserves the right to refer the dispute to the courts of Vienna. The client confirms the oral and written agreements regarding care responsibilities made at the beginning of the booking period.

§9 — Video Surveillance and Security

Surveillance cameras are installed in all studio halls for your convenience; recordings are confidential. Video recordings during your shoot may only be provided to the client upon request and with the administration's agreement, and may be paused upon agreement with the administration. The administration is not responsible for loss or damage of the client's personal property during the shoot.

§10 — Cyclorama

The studio does not guarantee a perfectly clean cyclorama; a painting service is available upon request, agreed in advance with the administration. Use of the cyclorama is included in the hall booking fee; in case of contamination during the shoot, an additional payment is required depending on the level of contamination. Standing on the curve of the cyclorama is strictly prohibited (fine of €200). In case of damage to the cyclorama, the cost of repairs and the downtime hours of the hall during repairs must be paid.

§11 — Behavior in the Studio

• The client guarantees order and correct, polite behavior from all shoot participants; in case of violation, the administration reserves the right to ask the client and participants to leave the studio without refunding the deposit, even before the shoot is completed.
• Smoking is strictly prohibited throughout the studio (fine of €200).
• The presence and consumption of alcoholic beverages is prohibited throughout the studio space (fine of €200). If individuals under the influence of alcohol or drugs are present, the administrator has the right to remove them without refunding the deposit and until the shoot is completed. Filming of pornographic material is prohibited — in the event of detection, the studio has the right to stop the rental, impose a €200 fine, and report the incident to law enforcement.
• The presence of individuals under the age of 18 without parental or legal guardian supervision is strictly prohibited.
• The client must comply with all fire safety regulations, sanitary standards, building operation rules, engineering equipment regulations, public order regulations, and safety rules.
• The client is responsible for injuries or physical harm to all filming crew participants, and covers related compensation independently.
